Reserving Apprenticeship Funding Guide for Employers
The New Online Funding System
Small and medium sized employers that do not pay the apprenticeship levy can now reserve apprenticeship funding for training and assessment directly in their apprenticeship service account.
Whether the apprenticeship is for a brand new or existing member of staff, all non levy employers must arrange their training via the Government’s Apprenticeship Service portal. The new system will allow greater flexibility for employers to manage their apprenticeship.
Employers are able to reserve funding for a window of 3 months. The apprentice must start their apprenticeship programme within this 3 month window.
For an October start, employers will be able to reserve funding in August, September and October. For a November start, employers will be able to reserve funding in September, October and November and so on.
Funding availability is not guaranteed and we advise employers to reserve funding with First Rung as early in these windows as possible. If the reservation is not used within 3 months it will expire and a new reservation will need to be made.

Service First Rung understands the new changes may be difficult to navigate, particularly in these challenging times. Our Employer Engagement Team is ready to support employers get up and running with the new way to reserve apprenticeship funds.
First Rung can remove the administrative burden by managing the entire set up process for employers once they have granted permission to do so:
Create an Apprenticeship Service Account:
You will need:
• an email address you have access to
• the Government Gateway login for your organisation (or you can use the accounts office reference number and employer PAYE scheme reference number if your annual pay bill is less than £3 million)
• authority to add PAYE schemes to the account
• authority to accept the employer agreement on behalf of your organisation

You will be asked to:
• create an account
• add a PAYE scheme on behalf of your organisa3on
• accept the employer agreement with the ESFA
Once the account is set up you will be able to grant permission to First Rung to reserve funding and manage the apprenticeship set up process on your behalf:

Once your account has been activated First Rung will:
• Finalise the set up your Apprenticeship Service account
• Reserve apprenticeship funds on your behalf
• Advertise your apprenticeship vacancy (if required)
• Find the right candidate with recruitment support
• Start training
